Full Job Description

1. Client Liaison
Maintain continuous and proactive communication with clients regarding shipment events.

Seek opportunities to expand business with existing clients and gain referrals.

Represent the company at functions, client meetings, and other relevant events.

Provide clients with daily status reports containing up-to-date shipment information.

2. Forward / Indent Monitoring
Coordinate with origin offices and trade lanes to track pending orders and establish ready dates.

Monitor shipments as they approach the ready date to ensure timely collection.

Ensure all relevant information is effectively communicated to responsible parties for execution.

Manage international client administration, including dispatching routing orders.

Ensure complete documentation is received for clearance and invoicing, including origin invoices, applicable bills, supplier invoices, packing lists, and certificates where required.

Oversee shipment handovers and continue monitoring once all documents are received.

3. Rates
Manage all rate-related matters for existing clients, including freight rate adjustments (origin, warehousing, and annual clearing rates).

Update rate proposals for current clients.

Negotiate rates for ongoing shipments to secure competitive pricing with a reasonable profit margin.

Communicate sell rates to origin offices.

Ensure buy and sell rates are shared with operations.

4. Managing Key Accounts
Conduct regular service calls with existing clients, meeting at least one client per week to discuss their business, shipments, requirements, and service levels.

Prepare and share meeting minutes with clients and upload them to CargoWise.

Analyze client trends, including downtrading, lost business, and estimated win ratios.

5. Estimates
Conduct quality checks on all estimates before sending them to clients.

Assist in preparing estimates for urgent cases.

6. Queries
Resolve client queries efficiently and assist all departments in addressing issues related to clients in the portfolio.

Address debtor queries promptly to prevent payment delays.

7. Quality Checks
Perform quality checks on invoices and documents for clients.

Ensure clearing and export instructions are fully completed to safeguard the company’s interests.

8. Client Information
Continuously update client details in CargoWise.

9. Reporting
Prepare quarterly KPI reviews, including statistics and performance evaluations.

Send status reports based on each client’s required frequency (daily, weekly, etc.).

Minimum Requirements

• Matric or senior certification equivalent
• High level of computer literacy
• Experience in all modes Air, Ocean & Road
• Minimum of 5 years’ experience in freight forwarding and clearing
