Manage Expenses by …

• Negotiate Forwarding / Routing Order EXW and DAP rates with WWA Agents and estimate/quote to be generated via the online SHIFT Quoting System (acceptance of rates to be shared with operations).
• Special rate negotiations for Forwarding / Routing Orders, to be concluded with WWA Agents within 24-48 hours (depending on scope of services) and documented in the online SHIFT Quoting System and in the public drive.
Adherence to Policies & Procedures by…
• Acknowledge Forwarding / Routing Order request within 2 hours of receipt from Client.
• Generate online estimate/s for the Forwarding / Routing Order (when applicable) to secure Client acceptance. If not accepted, probe for reason/s as to why not secured and document findings in the online quoting system for Sales and Servicing further follow up and engagement.
• Compile estimates – Ocean freight, Imports and Exports for all types of cargo.
• Initiate the Forwarding / Routing Order with the respective WWA Agent and share the necessary shipment status information with the Client and the operations controller.
• Master Forwarding / Routing Order report to be updated. Document to be accessed in operations Public Drive for ease of seamless transition from Internal Sales to Operations.
• Special rate negotiations with agents and service providers to be documented and finalized and shared via One Drive.
• Named Accounts (specific to each branch) - Forwarding / Routing Order report to be updated.
• Acknowledge queries (Clients, Agents, SACO Branch nationally) within 2 hours of receipt of the query and escalate within 4 hours if not resolved.
• Advising clients on the best way to ship their cargo.

Operational Excellence by…

• Provide support to operations and Sales & Servicing through the execution of estimate/s and Client interaction.
• Execute FOB estimates within 2 hrs of receipt. EXW / DAP / hazardous estimate/s within 24-48 hrs of receipt of request, depending on complexity of estimate requirements.
• Adhere to follow-up process for estimate/s, and within 48-72 hrs of sharing the estimate/s with the Client.
• Online estimate/s status to be converted into either accepted / not accepted / pending - with specific outcomes in terms of non-acceptance status.
• Execute Cross Trade pricing requirements and implementation with relevant operations teams / Agents.
• Estimate report to be generated with pertinent information, and to be shared with Sales and Servicing Team as a basis of potential leads.
• Provide support to Operations through the actioning, tracking and management of Status Reports for Key Account Clients.
• Attentiveness and accuracy in terms of Forwarding / Routing Orders.
• Attentiveness and accuracy in terms of Estimate / Quotes.

Cultural Accountability by…

• Three EEE's.
• Deliverables and general performance discussion quarterly.
• Compliance to all HR policies, practices and administrative procedures.
• Weekly operational meetings.

SKILLS:
• Must have a basic knowledge and understanding of shipping practices with in a commercial or shipping environment.
• Must have a basic Sea freight/Airfreight Knowledge.
• Must be proficient in Microsoft Excel/Word and Outlook.
• Must have experience working on SHIFT or similar management system.
• Must have a basic understanding of Pastel reports.
• Must have excellent verbal and written communication skills.
• Commercial arithmetic calculations.
• Ability to prepare own correspondence.

Minimum Requirements

• Minimum of Grade 12.
• Must have a Diploma in Business Administration NQF 4.
• Minimum of 2 years’ experience within Ocean Freight department within a controller position.
• Must have 2- 3 years’ experience in a position within a related department within the industry.
